An invoice-finance application is easier to assess when the numbers tell a consistent story. The ledger, management accounts and forecast should use identifiable dates and reconcile where they overlap. Sending a large folder without explaining its contents can leave the funder guessing which version to use.

Begin by asking the proposed provider for its current information requirements. The checklist below helps organise a recruitment agency's response; it is not a promise of eligibility, an exhaustive lender checklist or a substitute for the provider's own assessment.

Explain what the facility needs to do#

Write a short summary of the agency's contract book, client payment pattern, worker payment cycle and reason for seeking finance. Identify whether the request concerns current invoices, planned growth or a proposed change of provider. Distinguish signed business from pipeline opportunities in the forecast.

Describe any existing funding and obligations that may affect the proposed arrangement. An application should explain an apparent cash gap rather than presenting the largest turnover figure available. State when funds would be needed, while allowing the provider to confirm its own assessment and implementation timetable.

Prepare a dated document index#

  • Latest available financial statements and the management information requested by the provider.
  • An aged receivables ledger with a clear extraction date and customer identifiers.
  • A list of material disputes, credit notes and overdue items, cross-referenced to the ledger.
  • Sample client terms, assignment evidence, approved work records and invoices.
  • A forecast showing expected collections, payroll and other payments.
  • Details of existing finance and any documents the provider asks to review.

The British Business Bank's application checklist highlights financial statements and credit information among the matters providers assess. Confirm the exact document set with the provider rather than treating a general checklist as a guaranteed route to approval.

Build one complete sample invoice trail#

Select a representative invoice and show how it arose: client agreement, assignment or order reference, evidence of work, approval, invoice and current payment status. Check that names, amounts and dates agree across the trail. Explain differences instead of changing historical records to make them appear consistent.

In an illustrative example, a client ledger balance includes an invoice under query because its purchase-order reference is missing. Keep the invoice visible in the ledger, identify the dispute and record the person obtaining the reference. Do not describe it as an undisputed receivable just because the work itself took place.

Make concentration and collection patterns visible#

Group the ledger by the customer relationships the funder asks you to use. Flag connected entities where relevant and explain major changes expected in the next few periods. Ask the provider how it treats particular debtors, disputed invoices and other exclusions before assuming those balances will support availability.

Provide a realistic collection narrative: which customers pay to terms, which dates have been confirmed and which amounts are uncertain. Avoid turning a sales consultant's optimism into a cash receipt without evidence.

Control versions and follow-up questions#

Use a single document owner, a version date and a query log. When a number changes, send the replacement clearly and explain the change. Keep personal records out of an initial commercial discussion unless the provider confirms they are required through an appropriate channel.
